Who operates this site

This website is operated by TRACE Consulting Solutions Inc., a New Brunswick, Canada corporation, referred to as TRACE in this policy.

What this site collects

Before showing TRACE availability, the booking page asks for your first name and work email. When you continue, the website sends those fields directly to a dedicated HubSpot form through HubSpot’s Forms API. HubSpot creates or updates the contact and records the form submission before the calendar is revealed. The starter fields are not submitted to Netlify Forms or sent to Google Analytics. The embedded HubSpot Meetings experience may then collect additional information configured on the scheduling page, such as last name, company, mobile number, or a response to a booking question. HubSpot may also process scheduling, device, browser, referral, and campaign information needed to operate the booking experience.

How the information is used

TRACE uses booking information to show availability, create the meeting, coordinate reminders, prepare for the conversation, assess fit, respond to your request, prevent abuse, and maintain appropriate business records. Starting or booking a conversation does not add you to a newsletter or general marketing list. A mobile number, when requested, is used for call coordination and reminders unless you separately provide consent for another purpose.

Optional measurement

Google Analytics 4 and optional HubSpot website measurement are configured through TRACE's consent controls. The Google tag is present on each page with analytics and advertising storage denied by default under Google Consent Mode v2. Before consent, Google may receive limited cookieless consent and measurement signals, but analytics and advertising storage remain denied. Analytics storage is enabled only after analytics consent. Optional HubSpot website tracking loads after marketing consent. When enabled, these tools may process device, browser, page, campaign, interaction, and conversion data according to the provider's terms. You may change your choice at any time through Cookie settings in the website footer.

Booking identification

When you deliberately submit the booking starter form, TRACE sends the first name and email you provided directly to HubSpot Forms to create or update a contact record and record the booking inquiry. This processing supports the conversation you requested and is separate from optional newsletter or advertising consent. If marketing consent is granted, HubSpot may also associate broader website activity with that contact record for measurement and relevant follow-up.

Service providers and location

TRACE uses Netlify for website hosting, Google Analytics 4 for consent-based website measurement, and HubSpot for scheduling, customer relationship management, and consent-based website tracking. A connected calendar and video-conferencing provider may also process the meeting details required to create the calendar invitation and conference link. TRACE may use additional providers for analytics, communications, and security. Those providers may process information in North America or other jurisdictions where their infrastructure operates, subject to their contractual and legal obligations.

Retention, access, and correction

TRACE retains booking and business records only as long as reasonably needed for the purposes described, legal obligations, security, and legitimate business records. To request access, correction, or deletion of personal information, contact TRACE using the contact information included in your booking confirmation or existing business correspondence.

Legal review

This policy is a practical website starting point. It should be reviewed against TRACE's final technology stack, service providers, and the privacy requirements of the jurisdictions in which TRACE operates.
